Advertised Summary Job DescriptionReports to the Senior Manager - Budget & Finance at the College of Dental Medicine. The Administrative Coordinator will be responsible for the timely and accurate review of CDM Payroll. Review, coordinate, and process all the administrative and accounting aspects of compensation for CDM's faculty, officers, and staff. This includes ensuring the coordination of processing payroll for new hires, salary transitions and funding changes, and other adjustments for all compensation components in accordance with school and university policies and procedures. Reviews and approves the payroll entries for the bi-weekly payroll. Monitors salary spending on grant projects in accordance with grant budgets, keeps track of subsequent changes, and makes necessary adjustments to funding profiles. Reviews estimated salary expenses for current and future years and approves adjustments to databases and ARC. Prepares payroll budget data to be entered into the payroll module, and creates queries/reports from ARC and University legacy systems. Review monthly reconciliation of salaries between the University's financial system (ARC) and CDM. Monitors and processes casual and work-study payroll timekeeping in accordance with policies. Acts as a liaison with the Columbia University Medical Center Controller's office as needed. Works closely with CDM HR team to coordinate PAF's submissions that affect the payroll process such as leave of absence, sick pay, new hires (TBH), and terminations. The Administrative Coordinator prepares regular ARC reconciliation statements and performs troubleshooting as needed with payroll and accounting problems. The Administrative Coordinator responds to employee inquiries regarding payroll and resolves problem (e.g. over/under payments). Responsible for clearing suspense, assisting in the preparation of salary surveys, reviewing and updating salary reports for CDM sections, maintaining payroll data (paper forms, internal electronic reports and CUMC systems-COB), and preparing reports associated with compensation as needed. Solve complex payroll problems and analyze information in multiple campus systems. Meets regularly with Senior Manager and reports any issues, problems, or potential problems that could affect employee's salaries and/or salary accounts. Works collaboratively with Human Resources, Academic Appoinments, and Business Office personnel. Other duties as assigned.  
Minimum Qualifications for Grade

Requires a bachelor's degree or equivalent in education and experience, plus a minimum of three years of related experience.

Must have experience in payroll and accounting; computer literacy (Word, Excel) required; excellent organizational, interpersonal, and communication skills (written and oral) required. Ability to take initiative and interact effectively with others. Must be detail-oriented and able to work in a fast-paced environment with minimal supervision.  
Preferred QualificationsFamiliarity with Columbia University financial and administrative systems preferred, such as ARC and FFE systems.
