GENERAL DESCRIPTION:
The Associate Executive Director is responsible for the management of membership, programs, facilities, volunteer and staff development, communications and information systems and all other areas of the branch. Will also assure conformity of staff with policies and procedures as adopted by the Association.
The incumbent must have the competencies, skills and proven management ability to successfully carryout the association's mission, goals and vision for serving the community. This position requires a team player with the ability to effectively work with members, staff and volunteers.This position will identify and respond appropriately to customer wants, needs, and expectations through caring, honest, respectful, and responsible actions and interactions that contribute to the relationship between the member and the YMCA organization.
JOB RESPONSIBILITIES:
Membership Development - Administer target marketing and promotional plans to meet branch goals for increased enrollments and new business. Lead member involvement and relationship building strategies (from casual to committed YMCA member) that would increase participation, enrollment, tenure, volunteerism and advocacy. Evaluate services, participation and operations to assure branch's relevance in meeting community needs.
Financial Responsibility and Fiscal Management -Develop and administer the approved budget taking appropriate action to maintain the fiscal stability of the branch across all departments. Develop specific strategies and a financial plan to achieve association goals at the branch level and to ensure continuous improvement in accordance with the association strategic plan. Assess and forecast future growth based on monthly profit and loss.
Departmental Process Development - Administer all implementation and use of department processes to achieve goals. Evaluate and improve effectiveness of departmental processes, i.e. membership cancellation, program registrations, etc.
Program Management and Development -Evaluate program quality and effectiveness based on participant evaluations completed by program directors.Supervise and monitor all branch programs to ensure quality, safety and growth in enrollment and participation. Lead developmental efforts to initiate new programs that would improve effectiveness in meeting community needs. Provide vision and long-range goals (3-5 years) for the branch to ensure long term future success. Interpret YMCA mission and goals to all constituents, increasing community awareness of Y programs and services.
Employee Development - Maintain discipline in a fair and equal manner. Evaluate staff performance semi-annually and annually based on approved performance appraisals. Follow all guidelines and practices as set forth by Human Resources. Provide leadership and direction to staff in areas of membership development and retention, program development, volunteer development and customer service. Provide all necessary information so employees can complete assigned tasks.
Team Development - Recruit, train and supervise management staff as necessary to achieve constant growth financially and programmatically. Create a positive, developmental work environment through an effective meeting structure including daily huddles, weekly cabinets, one-to-one meetings, annual subordinate once removed meetings and ongoing training.
Facilities and Operations Management - Approve and process payroll for direct reports and ensure payroll process compliance in all departments. Monitor work area, equipment, members and staff for safe and working operation at all times. Maintain preventative maintenance contracts with vendors for all facility systems. Manage and monitor maintenance/facility needs in a manner to assure that they are clean, attractive, safe and in good working condition. Ensure branch adherence to association policy and covenants in the branch governance/lease agreements. Collaborate across branches for association wide policy and procedure consistency.
EDUCATION:
Undergraduate degree
EXPERIENCE:
YMCA Experience preferred. A minimum of 5 years of proven experience as a leader with administrative and operational competencies in management, strategic planning, marketing, membership development, finance, administration, human relations, development and operations.
CERTIFICATIONS:
YMCA Senior Director and maintenance of Y credits to continue certification (based on Y-USA standards)
Salary: $40,000 - $50,000
Additional Compensation Details:
This is a Exempt Fulltime position. Benefits are available after 90 days of employment to include Medical, Dental, Vision. STD, LTD and Life Insurance policies are paid by company. Retirement Plan contributions are paid by company when eligibility requirements are met.
