Job Summary:

At the direction of the Department Manager, is responsible for expediting or performing activities surrounding telecommunications, patient reception and scheduling, record keeping, billing, generating department reports, and general department efficiency as relates to supplies and equipment utilization (e.g. cleanliness, set-up, and appropriate availability).

Essential Job Duties and Responsibilities


1.                   Answers department telephones, providing routine information, taking accurate messages, and/or referring call to appropriate person/department.

2.                   Schedules practicable patient visits for Rehabilitation Services, ensuring appropriate times for visits are maintained, including coordinating treatment times between departments as needed.

3.                   Assists with scheduling of Home Health patients and the coordination for this between disciplines as it relates to Rehabilitation Services.

4.                   Greets visitors and patients pleasantly and in a timely manner, providing and acquiring information and answering non-clinical questions.

5.                   Maintains, tracks, and confirms the receipt of an appropriate level of supplies and equipment for the department, checking levels on a bi-weekly basis, and re-ordering supplies with the Manager’s approval.

6.                   Updates the “billable equipment list” as changes occur.

7.                   Assist Patient Accounts Department with patient registration and other bill-related issues including coordinating billing sheets as it relates to activities/treatments in the Rehabilitation Services Department.

8.                   Assists Medical Records Department with organizing and photocopying records for legal and billing purposes.

9.                   Assists the Rehabilitation Services Manager with the preparation of reports, memos as directed and creates department forms as needed.

10.               Maintains patient records and department files, preparing new patient files prior to a patient’s first treatment.

11.               Assists in the transport of patients to and from the department when assistance is necessary.

12.               Ensures the department clinical equipment, clinical areas, and the reception area is kept clean and orderly for the safety of personnel, patients, and visitors in the department.

13.               Regularly supports and participates in departmental meetings and hospital-wide education in-services.

14.               Assists therapists as needed with light patient care, including assisting with transfers and standing, escorting patients to treatment areas for changing, and taking patients off treatments when finished.

15.               Organizes and distributes departmental statistics and other data as appropriate.

16.               Assists in facilitating third party payor approvals and appeals for reimbursement for services provided in department. 


17.               Mail/fax initial evaluations, re-evaluations, and Discharge summaries to referral sources and assist with follow up as needed by department.

Essential Qualifications, Knowledge, Skills, and Abilities Required for the Position

Knowledge of:
§          Comprehensive understanding of medical terminology
§          Working knowledge of Microsoft Office applications
§           

Skills:
§          Must be able to demonstrate adequate technical skills and judgment to function unsupervised during on-call, second shift, and weekend hours.

Ability to:
§          Ability to supervise volunteers and interns.
§          Ability to tactfully communicate with both internal and external customers.
§          Ability to handle stress and work in emergency situations. Ability to use of fingers and hands to operate all department-related equipment as described on the Department checklist.  Additionally, must use beeper, telephone, calculator, fax, and other related office equipment.
§          Ability to frequently bend, using back and knees.
§          Ability to lift between five (5) and fifty (50) or more pounds.
§          Ability to frequently stand and walk is required.  Minimal crawling required.
§          Ability to bend, twist, crouch, squat, pull, push, reach, and remain stationary for short period of times and perform repetitive motions.
§          Ability to use hands, fingers, arms and wrists, hearing, smell, and verbal skills are required in order to perform job duties.

Credentials and Experience Required
§          High School Degree or GED required.
§          Associates of Secretarial Science preferred
§          Minimum one year experience in a similar position
§          CPR Certification preferred
§          Valid driver’s license preferred to run errands locally or if delivery of equipment is required.
Special Requirements
§          Regular workweek requiring minimal additional hours.
§          Must be available to work in the case of a declared hospital emergency.
