This Administrative Specialist III position is located in the Seattle Fire Department Medic One Offices, adjacent to Harborview Medical Center. The position reports to the Medic One Administrative Staff Assistant and supports the Deputy Chief of EMS and six Medical Services Officers. |
Job Responsibilities: |
Prepare and maintain regular Medic shift schedules and off-shift special event schedules for the Medic One Division of the Seattle Fire Department.
Serve as the primary contact for the City's customers in the preparation and execution of EMS event staffing. Responsibilities include preparing, receiving, and processing service contracts, service invoices, patient logs, and overtime forms for EMS events. Track and report on continuing medical education hours in accordance with the State's Paramedic recertification requirements. Monitor inventories and stock EMS supplies and pharmaceuticals. Maintain the Medic One SharePoint website to facilitate and develop communications between four rotating shifts of Paramedics. Train administrative and operational personnel in the use of new automated office equipment and programs. Answer primary Medic One office business phone line, and other administrative duties as assigned. |
Qualifications: |
The equivalent of three years of office clerical support experience.
Proficient in MS Word, MS Excel, and Adobe Acrobat Professional.
Excellent writing, editing, and proof-reading skills.
Excellent organizational skills with the ability to handle multiple projects simultaneously, and with frequent interruptions.
Ability to self-start and work with limited supervision.
Ability to maintain confidentiality.
Excellent communication and customer service skills.
Ability to deal with distressed citizens.
Outstanding attendance record.
A professional demeanor.
Must be able to climb one flight of stairs.

Desired Qualifications: Experience working in a paramilitary environment. Proficient in MS Outlook, and MS SharePoint. |
